Digitization of entire organizational processes
The defence organization needed to transform its traditional paper-based authorization processes to computer-produced dynamic documents that helped defence personnel locate, download and fill out forms. Additionally, the form also needed to be electronically routed through traditional approval processes.

Our client is a Defence Organization.
the challenge
Though many business processes are initiated with someone filling out a form, this basic process can be riddled with errors, inefficiencies and wasted time. The project entailed conversion of around 6000 manual forms to digital processes and was crucial in strengthening the defence department’s technology infrastructure. The client also required the automation of the entire approval and authorization process – thereby moving business processes from the manual to the online domain.
the solution
The client chose to completely re-engineer its forms-based business processes engaging L&T Infotech to implement a solution using IBM workplace forms. Initially, L&T Infotech needed to understand the manual forms entirely and define the standard workflow for approvals. This knowledge is crucial in developing electronic forms and setting up a validation process. As different business processes used multiple databases, L&T Infotech also needed to cull out matter and create a single source of data.

L&T Infotech was thus able to empower the defence department with a single data enterprise solution that would automate manual processes and transform forms-based requirements. In order to ensure complete functionality, the solution was integrated with existing legacy systems and would also be extended to other branches of the client organization.
HIGHLIGHTS
A one-of-a-kind project, as it is a major step towards a green environment, reduced carbon footprint and achieves the creation of a paperless office.
THE BENEFITS
The primary benefit was minimizing paperwork and creating a completely paperless office environment. Streamlined business processes including form based requirements reduced operational time by 30-40%, improved efficiency and reduced time to value. Additionally the solution also helped address environmental impact by creating a push towards a greener office. This also helped cut cost by eliminating printing, distribution and storage requirements.
